Comotiv Glossary
Account Profile: A Comotiv account profile is an editable set of informational fields located on the Dashboard’s or Collaboration Room's menu bar by navigating to View>Preferences> Account Profile. Each Comotiv Member can edit his/her own account profile. Display Name, Job Title, Email Address (Preferred), Email Address (Alternative), Phone Number (Office), Phone Number (Mobile), Address, City, State/Province, Postal Code, Country, and Other Info are the profile fields.
Audio/Video Conference: A Comotiv audio/video conference consists of two or more Comotiv Members in Collaboration Room conference. Audio/video conferences can take place when one Member invites another Member into an audio/video conference from the Dashboard, which creates a temporary room where an instant conference takes place. An audio/video conference can also take place in a Collaboration Room, where Members join a conference. Audio/video conference attendees who are offline are invited to participate via emailed invitations.
Collaboration Room: Collaboration Rooms are where Members meet and conduct text messaging (chat), audio/video conferencing, and/or desktop sharing (realtime activities) sessions. Collaboration Rooms are either permanent or temporary. Only permanent Collaboration Rooms contain a file storage repository.
Comotiv Member: Users of Comotiv are referred to as Comotiv Members.
Dashboard: The Comotiv Dashboard is the window Members see when they open the application. It consists of a list of Comotiv Members contacts, Collaboration Rooms, a display panel, a menu bar, a toolbar, and the What’s New field.
Desktop Sharing: A desktop can be shared between Members who are in a Collaboration Room. One Member initiates the share, and other Members can opt to view it and ask to take control of the mouse and keyboard of the Member sharing the desktop. The Member sharing the desktop can grant control status to the other sharers.
Files: Comotiv allows the uploading of files into file repositories. Files can also be downloaded from the repository. Files in the repositories can be opened by double-clicking them.
File Storage: Each permanent Collaboration Room contains a file storage repository. It is opened in these rooms by selecting the Files View option in the room’s toolbar. Once opened, the room displays the names of files that have been uploaded to the repository. Files can be opened or deleted from the room’s repository.
File Upload: Each Collaboration Room contains a file storage repository. The file storage repository offers Members the capability of uploading files into it or downloading from it.
Invite Members: Members are invited to Collaboration Rooms (permanent and temporary), conferences, and desktop sharing sessions. Invitations come in two varieties: popup invitation messages, and email invitation messages.
Join: When a Member is in a Collaboration Room, they have the option to join (if one is in existence) an audio/video conference, or a Presentation conference by clicking the Join button located in the room.
Login: Members must log in to Comotiv to access it. When a Member first uses Comotiv, an icon is placed on the Member’s desktop. When the member double-clicks the icon they the Login window opens. Here they enter their Login Name, Password, and Status. Also, if they have forgotten their password, they can click a link and receive a new one after entering their login name and email address.
Login Name: All Comotiv Members are given login names by Comotiv Systems prior to their first usage of the application. It is used when they login into Comotiv.
Notifications: Members receive notifications in Comotiv. They are similar to the pop-up messages that are received in Outlook when an email is received. Notifications are sent when a member enters a project room that you are in, leaves a room, and when a member invites you to enter a new Collaboration Room.
Online status message: Comotiv affords all Members with the ability to indicate online status at all times. Status is initially set when a Member logs in. There are three set states: Available, Do Not Disturb, and Busy/Away. Members may also enter their own status (for example, “Working at Home Today”) once they have logged in to Comotiv. Comotiv stores the last five statuses that were entered, along with the three set states. Comotiv remembers the last status a Member entered before they logged out and it appears in the status field the next time a Member logs in.
Password: Comotiv Members must supply a password to access the application. First time users are supplied their initial password by Comotiv. After first time login, Members are prompted to change their password. Members can change their password at anytime by going to Application>Change Password on the Dashboard's menu bar. If a password is lost, a new password can be requested from the login window. When a new password is sent, it can be used once before the Member is prompted to change their password.
Presentation Conference: An audio/video conference can be configured for Presentation mode. This means that only the host is visible in the Collaboration Room. The invited members are listed in the window, marked with an icon if they are present. The list is updated as members enter and exit the conference.
Request control: When sharing a desktop, Members can request to have control of the sharing Member’s mouse and keyboard. Once the request is granted, the requester can use the mouse and keyboard to edit files in a true collaborative manner.
Revoke control: When sharing a desktop, a Member who has been sharing his/her desktop with another Member, can revoke the sharing process to regain control over their own mouse and keyboard.
Room transcript: Within each Comotiv Collaboration Room, there is a field for entering text messages for chatting with other Members in the room. These text conversations can be saved for future reference by going to Room >Save Chat Transcript on the menu bar. Transcripts may also be printed from Room>Print Chat Transcript.
Send Problem Report: Comotiv contains a Send Report option (Help>Send Problem Report) that lets Members who discover a problem running the application send a report from Comotiv contains logs of the problem and technical information to Comotiv Systems’ Product Support services.
Shared Desktop: Desktop sharing is a tool for Members to collaborate on documents, presentations, or graphics. This module allows Members to all see the same desktop, and to ask for and receive control of the desktop in order to make changes to an item.
Desktop control is very important to collaboration. For example, if you and two other project members are writing a report together from three different locations, and the report is on another member's desktop, you can make changes to it once you have been granted mouse control, and all three of you can decide at one time on the final version of the report instead needing to email it around to project members several times.
What’s New: The What’s New field resides at the bottom of the Dashboard. It contains one-line informative sentences that let a Member know at a glance what has changed or is new in the Workspace since the Member last logged in. The information in What’s New stays in the field for seven days before it disappears. Members can select an option arrow next to each line item to go to the room where something is new or changed, or view the changed or new item itself.
